Residence Hall Room Assignment Information
ON-CAMPUS RESIDENCY REQUIREMENT
Students with less than 30 hours of post-high school academic credit (excluding credit by exam and dual credit hours) prior to the beginning of the first semester of enrollment are required to live in university housing, unless exempted by University Student Housing. Students who fail to comply with the freshman residency policy are subject to disciplinary action and/or administrative holds on future registration and records. A complete description of the on campus residency requirement and the university policy is available in the Undergraduate Catalogue and the Student Affairs Handbook and online. Contact University Student Housing for assistance with exemptions or verification of housing.
HOUSING RESTRICTIONS
Registered sex offenders and students convicted of any felony are not permitted to live in university-owned housing, which includes the university residence halls. (OP 30.25).
ROOM/HALL ASSIGNMENT CHANGES
New freshmen and transfer students will be selecting specific room and hall assignments when completing the application for housing. Once the initial application is completed, the student may return to the Web site to make changes at any time prior to the closing of the assignment process. To change rooms or halls, the student shall simply return to the completed application and select from the spaces available at that time. Should the space you are interested in not be available, it is advisable for the student to return to the site and check on a regular basis as the requested space may become available as other students make room/hall changes or cancel applications.
After moving into a room, a resident desiring a room change will work directly with the residence hall staff for changes in room assignment. No changes will be made during opening week so that staff can check-in students and determine no-shows and available spaces. Room and hall changes will be processed after the first class day when residence hall staff members identify all unclaimed spaces. Residents may not move to a new room or hall without written permission from the hall office or the Housing & Residence Life Office.
COERCION
Any student who attempts to coerce, threaten or harass another student, either verbally or in writing, in an effort to manipulate the assignment process by encouraging someone to move against his or her will, may be subject to disciplinary action, re-assignment to another hall/space or cancellation of the request.
SINGLE ROOMS
A limited number of single rooms are available each semester. Single rooms are assigned according to a point system based on age, classification and the number of semesters the student has lived in a residence hall. As vacancies occur during the academic year, a student may request a single room through the hall office. There is an additional charge for single rooms. A single room guarantees that no roommate will be assigned for the specific semester or academic year. It does not entitle the resident to make the extra furnishings available to another student or guest.
ONE-SEMESTER CONTRACTS
Returning students or transfer students with 30 or more credit hours may request a one-semester contract for the fall semester at the time of application or contract renewal. Room and dining plan rates for approved one-semester contracts are based upon 60 percent of the established academic year rates. One-semester contracts are available on a limited, first-come, first-served basis in most halls. One-semester contracts may be changed to an academic year contract prior to November 15 to qualify for the reduced charge (40 percent) for the spring semester.
12 MONTH CONTRACTS
Residents of Murray and Carpenter Wells Halls have the option to select a 12 month contract that provides continuous occupancy for the fall, spring and both summer sessions of the academic year. A 12 month contract ensures that a student may stay over breaks and summer sessions. Twelve month contracts provides a significant savings in cost of room and dining plan over the combined cost of the separate contracts (academic year and summers). There are a limited number of 9 month contracts available in these complexes.
ROOM CONSOLIDATION
Traditional Residence Halls
University Student Housing is a self-supporting unit within the university receiving no state funding. The Board of Regents determines room rates at a level needed to meet operating and replacement costs. These rates are based on a normal occupancy of two students in each room. When one student occupies a room as a single, a single room charge is assessed to cover operating costs. When space provides the opportunity, students may remain in the room at an additional charge, or they must consolidate with another student to avoid the single room charge. It is the student's responsibility to complete the consolidation process.
If one roommate moves, the remaining roommate has three choices:
- Pay a higher rate for the single room (if space is available);
- Arrange to have another roommate move in; or
- Move to another room. (Residents will not be required to move to a different floor for consolidation purposes, but may do so if they wish.)
In cases where neither of the consolidating parties wishes to move, priority to remain will be based on the following three items in the listed order:
- Length of room occupancy;
- Length of enrollment; and
- Date of receipt of housing application.
- A resident is responsible for contacting the hall office to discuss room consolidation and/or obtain assistance with possible roommate choices whenever a vacancy occurs in the room. Failure to do so will result in additional charges.
Carpenter/Wells Complex and Murray Hall
When a roommate in Carpenter/Wells or Murray moves from the apartment or suite the remaining residents may request assignment of a roommate of their choice. Should the remaining residents not select a new roommate within three business days of the official move-out of the previous roommate, the Housing Office will assign a person to the vacancy. Any person requested by the remaining residents must meet eligibility requirements for residency in Carpenter/Wells or Murray.
SUMMER HOUSING
A limited number of residence halls are open during the summer. Current residents may request housing for the summer and interim periods even though they are not enrolled in summer classes, provided the student has a residence hall assignment for the upcoming fall semester. Residents of Murray and Carpenter/Wells Halls may ensure the assignment to the same space by completing a 12 month contract.
CONTRACT CANCELLATION AND CHECK OUT PROCEDURES
Residence Hall Contracts are binding for either an academic year or for the longer, 12-month contract period. Students wishing to terminate their contract for any reason must contact the Housing Office in Doak Hall. Consult the Residence Hall Contract for terms covering graduation, suspension, withdrawal or cancellation. Below are the procedures each resident should follow to properly cancel the Residence Hall Contract and check out of his/her room:
- Complete a Cancellation Request Form at the Housing Office. The hall office and Community Advisor (CA) cannot accept cancellations.
- Plan ahead and make an appointment with your CA to check out of your room. If for some reason your CA is not available, please contact the hall/complex office for assistance in locating an available staff member.
- The condition of your room will be documented on the inventory card and you will be charged the appropriate cost(s) for any repair or replacement of damaged item(s). Discuss any damages with your CA at the time of check out. Sign and date the completed room inventory. Keep your copy of the room inventory for reference and proof of proper check out.
- After the CA has completed the check out procedures, give your key to the CA. This will prevent you from being charged for a lock change. If you drop off your key at the hall office or leave your key in your room without checking out, you may be charged for a cleaning fee and for a lock change in addition to any damages to the room.
- Go to your hall office and complete a forwarding address card after completing your room checkout. This will assist in the proper forwarding of your mail. Additionally you must update the local address in TechSIS.
- If you are moving off-campus, you must go to University Parking Services and surrender your parking permit. If you are moving to another residence hall, you may request a parking permit for the parking lot near your new hall after obtaining the proper paperwork for your hall change from the Housing Office.
- Abandoned property handled in accordance with the abandoned property policy. Should items be found, they will be packed and stored, and appropriate fees will be assessed. The Department of Housing and Residence Life will notify students in writing at their home address if items have been found. Students will have 30 days to claim their belongings before they are discarded. University Student Housing is not responsible for unfound or abandoned property.
- Residents must vacate their residence halls rooms by the dates indicated in the residence hall contract's Period of Occupancy. Residents may be charged a fee per day that they exceed the period of occupancy.
